Document Control Procedure
1. Purpose
This Document Control Procedure defines how GISS creates, reviews, approves, issues, updates, distributes, archives, and withdraws controlled documents to support consistency, traceability, and quality management.
2. Scope
This Procedure applies to policies, procedures, forms, standards, guidance documents, templates, certification documents, audit tools, training materials, and other controlled records used by GISS.
3. Document Identification
Controlled documents should include appropriate identification such as title, document number or reference, version number, issue date, approval authority, owner, and review date where applicable.
4. Review and Approval
New or revised controlled documents must be reviewed by competent personnel and approved by authorized persons before release. Approval should confirm suitability, accuracy, and alignment with applicable requirements.
5. Version Control
Superseded documents must be withdrawn or clearly marked to prevent unintended use. Current versions should be available to relevant users through approved channels.
6. Distribution and Access
Controlled documents should be distributed only through authorized systems or channels. Access may be restricted where documents contain confidential, proprietary, or sensitive information.
7. Records and Archiving
GISS will maintain records of approvals, revisions, and document history where necessary. Obsolete documents may be archived for legal, operational, certification, or reference purposes.
